An operational guide to emergency department triage software

Require a usable intake workflow, clear clinical review responsibility, visibility into patient status, and traceable decisions. Evaluate how the tool fits existing workflows and escalation procedures. Faster documentation does not automatically mean shorter waits or fewer patients leaving before care.

Observe the current workflow first

Map registration, initial assessment, reassessment, and the handoff to the next clinician. Identify duplicate documentation and ambiguous ownership. Select a pilot area where you can measure changes without confusing them with broader staffing or bed-capacity changes.

Demonstrate clinical review, not just a score

The application describes ESI-aligned suggestions, condition flags, and supporting context. Ask to see how a clinician reviews an output, overrides it, and documents the decision. Confirm how the workflow responds to missing or conflicting information.

Protect visibility after intake

Inspect patient lists, status changes, and the capacity view with the people who use them during a busy shift. Verify access controls and organizational separation. Confirm what is manual, what updates automatically, and whether interfaces to existing systems are actually configured.

Measure workload and patient flow separately

Use observed task time to evaluate documentation effort. Separately measure arrival-to-assessment, reassessment reliability, disposition timing, and patients leaving before evaluation where appropriate. Boarding is influenced by inpatient capacity; do not attribute changes to triage software without evidence.

Evidence to bring to the conversation

Ask for a demonstration of the configured workflows, current integration scope, security review materials, and a measurement plan for your population. A feature description demonstrates intent; observed outcomes require separate evidence.
